Complimentary Benefit Policy
Oregon Economic Development Association (OEDA)
Purpose
This policy establishes consistent, fair, and sustainable practices for offering complimentary or discounted registrations to speakers, instructors, volunteers, and sponsors participating in [Organization Name] events and training programs. The goal is to recognize contributions while protecting the financial sustainability of the organization.
Sponsors
- Complimentary registrations are included in sponsorship packages as outlined in the sponsor benefits.
- Complimentary registrations are valid only for the specific event being sponsored. They may not be rolled over to a future year or applied to another event if unused.
- The receiving organization is responsible for the timely allocation and utilization of all complimentary benefits to ensure access is secured and all additional benefits can be arranged.
- Complimentary registrations are limited to the number specified for each sponsorship level.
- Additional complimentary registrations are not available for purchase or trade.
Speakers and Presenters (Conference)
- Keynotes / Contracted Presenters: Benefits (registration, travel, lodging) may be negotiated in advance and included in the presenter agreement.
- Conference Speakers & Panelists: Invited speakers and panel participants who are not otherwise comped through sponsorship are eligible for a 20% discounted speaker registration rate.
Training Instructors (OCED Program)
- Virtual Instructors: No registration discount is provided.
- In-Person Instructors: Eligible for a 10% discounted registration rate if they choose to register for the applicable training course and participate as an attendee in addition to their instructional commitment.
Volunteers
- Volunteers who commit to a minimum of two shifts (4+ hrs.) at an OEDA-produced event are eligible for a 25% discount on the price of registration.
- No tiered or partial discounts will be offered.
- Complimentary registrations are not provided, except in the event a full-day (8+ hrs.) volunteer assignment commitment replaces the need for a registration fee (arranged on a case-by-case basis to be determined in advance by OEDA staff).
Hotel Accommodations
- Complimentary lodging is not provided, except when contractually required for keynote presenters.
- Discounted hotel rates will be offered to all OEDA Event Attendees whenever possible. Rooming availability and discounts vary based on individual hotel policies and Event Room Block Reservation requirements.
- Booking details can always be found on the Event Landing Page for individual OEDA events.
Administration
- Discounts will be issued through standard registration codes provided by staff unless directed otherwise.
- All policies are applied consistently and may be revised annually by the Board of Directors.
